The CertLean Quality Management System (QMS) Certification/Registration Process

 

APPLICATION

· An application is provided to the client for completion and requires the following types of information:

· Number and purposes of facilities

· Size of each facility (in square feet)

· Number of personnel in operations, in quality and in other functions (other than quality or operations)

· Company mail address, street address (if different), web address, phone and fax information

· Product(s) and/or Service(s) delivered by the Client’s Company

· Industries served

· SIC Code

· Client’s Annual Gross Sales in U.S. Dollars

· % of Client’s Annual Gross Sales represented by their largest single customer and by Government Contract

· Client’s Quality Management Representative and Contact Information thereof

· Client’s Organization Chart

· Commitment to maintain compliance with all requirements for the selected quality management system standard(s)

 

CONTRACT

· Upon receipt of the noted information concerning each client, a contract is prepared and provided detailing applicable costs.

 

DOCUMENTATION

The CertLean Representative prepares a Quality Management System Manual and Pre-completed Quality Management System Supplier Survey.

· The manual and survey address all relevant elements of the applicable quality system standard(s)

· The manual and survey are appropriate to the customer's scope of operations

· The manual and survey are applicable to all sites to be included on the certificate

 

QUALITY SYSTEM APPROVAL CERTIFICATE

The CertLean Representative issues a quality management system approval certificate.

· The certificate is valid for three years from the date of approval, subject to fulfillment of satisfactory annual maintenance requirements and satisfactory resolution of any objectively-verifiable non-compliance reported to CertLean.

 

MAINTENANCE

· Clients maintain their certification by providing ongoing annual proof of compliance via updates to the original application and CertLean contract renewal.


NON-COMPLIANCE

· In the event that CertLean receives verifiable objective evidence that a client has failed to uphold the commitment to maintain compliance with all requirements for the selected quality management system standard(s), the customer’s certification will be temporarily suspended. 

· The client will be advised of the non-compliance prior to suspension and will have 30 days to provide verifiable objective evidence to refute the validity of the previously reported non-compliance or to otherwise remedy the non-compliance to CertLean’s satisfaction.

 

FACILITY VISIT

· In the event that resolution of a reported non-compliance must be achieved by a CertLean Representative’s direct observation, CertLean reserves the right to, at its own expense, have a Representative visit the Client facility for that sole purpose. 

· Alternatively, at its sole discretion, CertLean may choose to withdraw and cancel the Client’s Certificate. 

 

SUSPENSION, WITHDRAWAL, & CANCELLATION OF CERTIFICATE

· In cases where:

· a certificate is deemed by CertLean’s Representative to have been improperly used by a client;

· compliance with applicable standards has not been effectively maintained by a client;

· the client fails to honor financial obligations to CertLean c/o CAPAtrak LLC; or

· the CertLean Agreement is otherwise violated by the client

 

       The certificate may be suspended or ultimately withdrawn and cancelled.

· A certificate will also be cancelled if

· a client does not apply for and achieve renewal annually and/or prior to the renewal date specified on the certificate; or

· The client ceases operations.

 

CONFIDENTIALITY

· During the term and after termination of the CertLean agreement, CAPAtrak LLC, its officers, directors, employees, and agents shall maintain the confidentiality of any information disclosed by the Client or prepared by CAPAtrak LLC in connection with the performance of related services, to the extent provided by law, other than the Company Name, SIC Code, Quality Management Representative, Scope, Control Number and Type of Certificate(s) on the CertLean Clients web page.  Clients with suspended certificates will be indicated as such on the CertLean Clients web page.  Clients for whom certificates have been withdrawn and cancelled will no longer appear on the CertLean Clients web page, however, if CertLean or CAPAtrak are requested to verify a withdrawn/cancelled Certification, the status will be reported in confidence to the requestor.
